An affordable system for your needs

WFM by Chronologic pricing varies based on the number of employees you have and the functionality you decide to invest in. We are set-up this way to ensure our software is accessible for organisations of all shapes and sizes.​

To give you an idea of pricing for your company, we've used current customer costing examples for a range of organisations.​

The below industries show WFM pricing as a total cost per week. This price includes all system, hardware, licencing and support payments. The Workforce Management System can be provided as CAPEX or OPEX options.​

Food Processing
The set-up: 1 large site, 500 Employees, 6 RFID Scanners, 500 Fobs, Employee Self Service for 500

WFM benefits:

  • Workforce scheduling – being able to ensure that employees can rapidly adapt to changing needs. Rota planning is now simple and easily edited in the system and viewable to staff
  • Optimise the cost of labour – Cost Centres in the system report on total hours worked and the gross wage cost per department. Unplanned overtime is highlighted to managers by the system and can be scrutinised before approval of the right hours
  • Payroll accuracy – using our biometric clocking units, employee hours clocked are now accurate and can be approved quickly by Finance/Payroll. The right pay rates and rules are automatically applied ready for payroll to sign-off
  • Managing absence – when employees are absent, the system shows this to local and central management and enables them to automatically update employee Timesheet and Payroll data
  • Comprehensive Absence Reporting – if there is an issue with any site or department, absence reports will now flag it for quick resolution

The cost: 5-year cost, including System implementation, training, and all support/licencing = £107 per week. 22 pence per employee per week (under 5 pence per day).

The set-up: 1 large site, 500 Employees, 6 RFID Scanners, 500 Fobs & Employee Self-Service

WFM benefits:

  • Simple Rota and staff schedule planning – including gross wage costs, enabling budgeting and cost estimating for each department.
  • Cost optimization – any unplanned overtime is highlighted to mangers by the System and can be scrutinised prior to simple approval of only appropriate hours.
  • Cost Centre Reporting provides the data to show the hours planned against those worked and helps highlight where margins may be at risk or process review is needed
  • Save time – WFM automatically applies the correct overtime and premium rates as well as acting-up rates for Employees who occasional cover different roles to their own. Absence, Holiday, and other pay elements are also automatically applied.
  • Show trends of absence, find employee absence patterns and histories, and offer clear evidence in the case of any related disciplinary procedures with comprehensive Absence Reporting.

The cost: £288 per week, 58 pence per employee per week (11 pence a day).

Healthcare & Care
The set-up: 1 site, 75 Employees, 1 Fingerprint Terminal, multiple complex shifts and patterns.

WFM benefits:

  • Simplified shift planning for their 24/7 operation thanks to WFM rotas that can be created and amended simply and quickly
  • Biometric clocking ensures employee hours are reported to the system accurately and in real-time
  • Payroll data now collected easily. The homes working rules are automatically applied, ready for Payroll System upload. Employee Timesheets can be checked and approved by line managers before final approval from Finance.
  • Holiday requests made simple. Employees now submit holiday requests online. Managers approve or deny requests in the system and can see who else in their team is absent at the time of the request.

The cost: £35 per week. 47 pence per employee per week (9 pence a day).

The set-up: 3 sites, 180 Employees, 3 Fingerprint Terminals – multiple complex shifts and patterns.

WFM benefits:

Simplification of shift rules for payroll data and regulations. WFM delivers visibility of individual site staffing to the Head Office team in real-time.

  • Maintaining minimum staffing levels over a 24 hours shift. Managers are now alerted when staff do not show up or are late
  • Multiple Holiday rules and allowances are now easily managed online, and management can see each teams’ availability when considering requests
  • Absence management is simplified. Automatic reports alert managers when employees have exceeded their absence thresholds, and when any disciplinary action is needed

Hotels & Hospitality
The set-up: 1 site, 170 Employees, 3 Fingerprint Terminals, multiple complex shifts and patterns that change to meet customer demand –

WFM benefits:

  • The ability to set and amend rotas as they need to without spreadsheets more effectively Departmental budgets can also be set within the rota to encourage efficient staff planning
  • Efficient budgeting – the system allocates hours worked to the right department so that management can enable Cost Centre reporting so each department can be monitored and controlled
  • Payroll processing is now simplified and correct. Checking, authorisation and preparation of payroll data are now all within the system. WFM allocates the hours worked to the correct pay rate for each employee. This ensures that employees are paid correctly, no matter which department they have worked in
  • Multiple Holiday rules and allowances are now easily managed. Paper holiday requests have been replaced by online requests and Managers can see each teams’ availability when considering the absence

The cost: £41 per week. 25 pence per employee per week (5 pence a day).

The set-up: 7 Hotel sites, 350 Employees, 9 Face Terminals, multiple changing shifts

WFM benefits:

The set-up: 3 sites – 550 Employees – 11 Fingerprint Scanners – Unlimited Concurrent Licence.

Motor Trade
The set-up: 55 sites – 2,000 Employees – 55 Biometric Fingerprint Terminals

WFM benefits:

  • Dramatically cut the cost of the clocking and payroll process. Previously timecards were approved at each branch, then posted to Head Office each week for further checking before being manually input into the Payroll System.
  • Pay rules are now automatically applied to hours accrued in the System and local Managers can approve their team’s Timesheets on-screen.
  • Stop buddy clocking – employees now clock in and out, and for their lunch breaks, using Biometric Fingerprint Terminals. This method ensures the Employee is on site when the clocking is made and delivers the clocking data to the System in real-time.
  • The Chronologic System now enables Employee shift patterns to be set weeks in advance and Rota changes made as required locally.
  • Overtime, Absence, Holiday, Breaks, and flexible working are all managed in one central resource with local and Head Office visibility and the rules are applied automatically to hours worked
  • Limit each user to what data they have access to in the System – simplified view with capabilities appropriate to their needs

The set-up: 7 main sites – 360 Employees – 20 Biometric Face Scanning Terminals – Employee Self Service & Web Admin

  • Web-admin – Access your business information anywhere and at any time. Best of all, web-based admin can be accessed using PCs, tablets, Macs, and smartphones.

The cost: £124 per week. £18 per branch per week, 35 pence per employee per week (7 pence a day)
